The problem
Webinar registrations and attendance data were valuable sales and marketing signals, but they needed to move into HubSpot consistently. The team needed contact data from GoToWebinar to become CRM records without relying on manual exports.
The solution
I built a scheduled PHP workflow that checked for completed webinars, pulled registration and attendance data from GoToWebinar, and sent the relevant contact information into HubSpot through the API.
This made webinar engagement part of the CRM trail instead of a separate reporting island.
How the workflow moved
- A scheduled script checked for completed webinar sessions.
- GoToWebinar data was pulled for registrants and attendees.
- Contact information was normalized for HubSpot.
- Contacts were created or updated through the HubSpot API.
- The marketing and sales team could use webinar activity inside the CRM.
Why it mattered
Webinar behavior became part of the customer record, giving the team better follow-up context and reducing the manual work around lead imports.
