The problem
The coaching program needed a practical way for administrators to manage the moving parts of student fulfillment: assigning coaches, tracking coaching calls, organizing recordings, and keeping documents tied to the right student records.
Generic tools could hold pieces of the process, but they did not match the workflow closely enough to keep the program organized as it grew.
The solution
I built a custom admin panel inside the existing WordPress environment. The app gave the team a central place to manage students and coaches, assign relationships, track call activity, attach recordings, and monitor document progress.
The interface combined PHP and MySQL on the back end with jQuery and Vue where a more responsive admin experience was needed.
How the workflow moved
- Administrators could manage student and coach records in one interface.
- Students could be assigned to coaches without juggling spreadsheets.
- Coaching call recordings and related documents were tracked against the right student.
- Program progress and fulfillment status became easier to review.
- The tool lived inside the existing WordPress system instead of forcing a separate platform.
Why it mattered
The panel reduced manual tracking and gave the team a workflow built around the way the coaching program actually operated. It turned scattered operational work into a managed internal system.
